'Zero missed filing deadlines across four years' over a stated caseload is the single most persuasive line a legal assistant can write. In a statute-of-limitations business, reliability is the product — and almost nobody quantifies it.
Supervised-support verbs throughout
'Prepare and serve … under attorney supervision', 'draft routine correspondence'. Nothing here implies advising a client or exercising legal judgement, which would read as unauthorised practice to the hiring attorney rather than as ambition.
Billing is on the page
Pre-bill review and invoicing turnaround are how the firm gets paid, and an assistant who shortens that cycle is visibly valuable to the partner signing the offer. Most resumes for this role leave the billing side out entirely.

How to write a legal assistant resume
Work out which job the posting is describing
Scan the duties, not the title. Drafting pleadings, summarising depositions, e-discovery and legal research mean it is paralegal work — lead with substantive support and the paralegal credential if you have one. Calendaring, correspondence, scheduling, billing and file management mean it is a legal-secretarial seat — lead with reliability, systems and volume. Applying with the wrong emphasis is the most common reason a qualified candidate here never hears back.
Mirror the posting's title exactly
If it says legal assistant, use legal assistant in your headline; if it says legal secretary or paralegal, use that. The industry has not settled these labels, so the filter and the reader are both matching on whatever word the firm chose. This is one of the few places where copying their vocabulary verbatim is straightforwardly correct.
Quantify reliability, because that is the product
Deadlines met, filings rejected or not, matters on the calendar, attorneys supported, records requests processed, billing turnaround. A missed filing can cost a client their case, so a clean record over a stated period and a stated caseload is the strongest evidence you can offer.
Keep the verbs inside the supervision line
Non-lawyers may not give legal advice, set fees, or make legal judgements — and the same phrasing rule that governs paralegal resumes applies here. Write 'prepared', 'drafted under attorney supervision', 'coordinated', 'managed'. 'Advised the client' on a legal assistant resume reads as a liability, and the person reading is a lawyer.
Name the systems, not the categories
Clio, MyCase, iManage, CM/ECF, the specific state e-filing portal, Acrobat for Bates and redaction, and Word at the level of styles and tables of authorities. Firms filter on the exact product, and 'proficient with legal software' matches nothing at all.

Diagnose the posting first, then lead with the matching half of your experience. The other half stays on the page, lower down.
Claiming paralegal-level work you did not do
Overstating substantive work is caught in the first interview question. Describe support accurately — precise support beats inflated substance.
'Proficient in legal software' with no product named
Name Clio, iManage, CM/ECF, the state portal. The generic phrase is invisible to a keyword filter and unconvincing to a reader.
Listing duties with no volumes or record
'Managed calendars' is every resume for this job. Attach the caseload, the attorney count and the deadline record.
Leaving the billing cycle off the page
Pre-bill review and invoicing turnaround are how the firm gets paid. An assistant who shortens that is directly valuable to whoever signs the offer.
Naming clients or matters
Confidentiality binds firm staff as well as lawyers. Describe the practice type and the volume instead.
Typos anywhere on the page
In a role whose value is accuracy, a typo is a work sample. Proofread on paper, then have someone else read it.

Paralegals and legal assistants are a distinct BLS occupation with a $61,010 median — which is exactly why the title on a posting matters more here than in most roles. Check the OEWS figure for your own metro before anchoring on a number.

- NALS Accredited Legal Professional (ALP) — the entry credential for legal support staff; NALS also offers the PLS and PP for more senior roles
- NALA Certified Paralegal (CP) — worth pursuing if you are moving toward the substantive track, since it re-labels you as a paralegal in the eyes of the market
- Notary Public commission — cheap, quick and genuinely useful in a law office; several firms treat it as a plus on the posting
- E-filing system training for your state courts — not a formal certification but worth naming, since portals differ and mistakes are costly
- Case-management platform training (Clio certification, for instance) — names a searchable skill in a market that filters on the product

Is a legal assistant the same as a paralegal?
Not reliably. The ABA removed 'legal assistant' from its paralegal definition in 2020, and the industry has been separating them — paralegal for substantive legal support, legal assistant drifting toward administrative work. But postings still use both loosely, so read the duties rather than the title, and mirror whichever word the employer used.
How do I know which kind of role a posting is?
Look for the substantive verbs. Drafting pleadings, discovery responses, deposition summaries, legal research and e-discovery mean paralegal work. Calendaring, correspondence, scheduling, intake, billing and file management mean a secretarial seat. Many postings mix them, in which case lead with whichever set appears first and most often.
What should I quantify on a legal assistant resume?
Matters on your calendar, attorneys supported, filings and their rejection rate, deadlines met over a stated period, records requests processed, and billing turnaround. Reliability under deadline is the whole job — give it numbers.
Do I need a certificate to get hired?
Not usually, though a paralegal-studies certificate or an ALP helps in a competitive market and is close to expected if you want to move toward substantive work. Firms hire on demonstrated accuracy, court-system familiarity and software fluency more than on credentials at this level.
How do I move from legal assistant to paralegal?
Take on substantive work where your supervising attorney allows it, document it accurately, and get a recognised paralegal credential — NALA's CP is the most widely known. Then change the title you lead with when you apply. Note that in California the paralegal title is legally regulated under Business & Professions Code §6450, so qualify before you claim it.
Should the resume mention confidentiality?
Show it rather than assert it. Describing practice types and volumes instead of client names demonstrates the judgement; a bullet that says 'maintained strict confidentiality' while naming a client demonstrates the opposite.
How long should it be?
One page. This is a role where a screener wants the systems, the volumes and the deadline record quickly — and where a tidy, correctly formatted document is itself part of the evidence.
