Office manager resume examples for a title that spans two pay bands.

One posting wants someone to run the front of house, order supplies and keep the office working. Another wants someone who owns a facilities budget, negotiates leases and vendor contracts, and manages a support team. Both say office manager. The US statistical system files them as different occupations, and the pay follows — so the first job of your resume is to work out which one you are applying for and lead with the matching evidence. This guide covers both, and the numbers that make either version credible.

Why this example works

Budget and headcount put you in the right band immediately

'$610K budget, 140 staff, two sites, three direct reports.' The manager-grade version of this job is defined by spend authority and people responsibility — without those numbers a screener assumes the supply-ordering version and files you accordingly.

Vendor renegotiation is the money bullet

An 18% cut in recurring spend with no service complaint is a real, recurring saving with a quality qualifier attached. Office managers control more spend than their resumes admit, and this is the bullet that reframes the role as commercial.

The office move is the credibility project

Moves are high-risk, cross-functional and visible to everyone. Delivering one with a stated downtime figure demonstrates project management without needing the title.

Office Manager resume summary examples

Three to four lines: scope, stack or specialism, one quantified win. Match the register to your seniority.

Office coordinator / administrator

Office coordinator running day-to-day operations for a 60-person office — supplies, post, travel, meeting rooms and event logistics. Cut supply spend roughly 25% by consolidating three vendors into a single standing order. The person people ask when something needs to happen today; comfortable owning a process end to end without being chased.

Office manager (supervisory)

Office manager for a 90-person single-site business, supervising two support staff and owning supplier relationships, front-of-house cover and onboarding logistics. Rebuilt the rota so reception is never uncovered, and took the office supply and print budget down 20% in a year. Health and safety trained and current.

Office manager (manager grade)

Office manager for a 140-person company across two sites, owning a $610K facilities and operations budget and 14 vendor contracts. Renegotiated four at renewal for an 18% cut in recurring spend; delivered a 90-person relocation with one day of downtime. Line-manage a three-person team and own health and safety across both sites.

Operations and office lead

Office and operations lead combining facilities, procurement and people logistics for a fast-growing 200-person business. Took the company through two office moves and a headcount doubling — built the vendor panel, the onboarding logistics process and the space plan that absorbed 80 new hires without a third site.

Practice / clinic manager

Practice manager for a four-provider clinic: scheduling, billing oversight, compliance, supplier contracts and a six-person front-office team. Cut patient no-shows from 14% to 8% with a reminder rework, and passed two payer audits with no findings. Fluent in the regulatory side that makes this different from a corporate office role.

How to write an office manager resume

  1. Diagnose which version of the job the posting is

Look for budget authority, vendor contracts, facilities, leases and direct reports — that is the manager-grade version, and it is paid accordingly. Supplies, reception, scheduling, meeting rooms and travel booking is the supervisory version. Many postings mix them; lead with whichever set appears first and most often, and mirror the employer's own title.

  2. Put budget, headcount and sites in the first two lines

'$610K budget, 140 staff, two sites, three direct reports' places you before anyone reads a bullet. Office managers routinely control more spend than their resumes suggest, and omitting the number invites the reader to assume the smallest version of the role.

  3. Write the commercial work as commercial work

Contracts renegotiated, vendors consolidated, recurring spend reduced, renewals timed, purchase processes rebuilt. Attach a quality qualifier so a saving does not read as a service cut — 'an 18% reduction with no service complaint' is the complete version of the claim.

  4. Lead with the projects, not the routines

An office move, a fit-out, a system migration, a headcount doubling absorbed without a new site. These are cross-functional projects with visible risk, and they demonstrate management capability more convincingly than any list of daily duties.

  5. Keep the compliance strand visible

Health and safety, fire and first-aid coverage, contractor inductions, insurance and access control. It is unglamorous, it carries genuine liability, and in the manager-grade version of the job it is frequently the responsibility that justifies the band.

Mistakes that filter office managers out

Applying to both versions with one resume

They are different jobs at different pay. Diagnose the posting, then lead with budget and vendors or with coverage and coordination.

Leaving budget and headcount off the page

Without them the reader defaults to the supply-ordering version of the role, whatever your actual scope was.

A duty list identical to the job description

Every office manager orders supplies and books travel. Use the space for spend controlled, contracts renegotiated, projects delivered.

Cost savings with no quality qualifier

A saving with no service measure attached reads as a cut. Add 'with no service complaint' or the satisfaction measure you have.

Hiding the people-management responsibility

Direct reports, rotas, hiring and training are management evidence. Say how many and what you owned.

Omitting health and safety

It is a liability responsibility and often part of what justifies the manager band. List the training with its currency date.

Running to two pages at coordinator level

One page unless you carry budget and team scope worth a second. A padded page reads as thin scope, not broad experience.

Office Manager salary ranges (US)

United States market. Absolute figures differ by country — the gaps between levels travel better than the numbers.

Office coordinator / administratorbelow the supervisory band; support scope, no budget authority

Manager-grade office manageranchored on administrative services and facilities managers
Facilities manager (May 2024 median)$104,690
What moves you between thembudget authority, direct reports, sites and contract ownership

BLS does not track 'office manager' as one occupation. The supervisory version sits with first-line supervisors of office and administrative support workers, which reported a $68,620 mean annual wage in May 2023 (a mean, and a year older than the figures elsewhere on this site). The manager-grade version sits with administrative services and facilities managers, where BLS reports a $104,690 median for facilities managers (May 2024), +4% growth through 2034 and ~36,400 openings a year. Read the duties in the posting before anchoring on either — the gap between them is wide.

Certifications worth listing

  • IOSH Managing Safely or an equivalent health and safety qualification — directly relevant where you own compliance, and cheap for the credibility it buys
  • First Aid at Work / CPR — frequently a stated requirement for the person running an office
  • IFMA Facility Management Professional (FMP) — the credential that signals the manager-grade, facilities-owning version of the role
  • Certified Administrative Professional (CAP) — the established administrative credential, useful in the supervisory band
  • Procurement or contract management short courses — worth naming if you negotiate renewals, since that is where the measurable savings live

Office Manager resume FAQ

Why does office manager pay vary so much?

Because it is two jobs under one title. The supervisory version sits with first-line supervisors of office and administrative support workers; the manager-grade version sits with administrative services and facilities managers, where BLS reports a $104,690 median for facilities managers (May 2024). Budget authority, direct reports and contract ownership are what move you between them.

What should an office manager quantify?

Budget owned, headcount supported, sites, direct reports, vendor contracts managed, savings from renegotiation, moves delivered and their downtime, hires onboarded, and any operational metric you improved. Scope is the whole argument in this role.

How do I move from coordinator to manager grade?

Take budget and contract responsibility, however small, and document it. Volunteer for the move, the fit-out or the vendor review — projects are what demonstrate management capability before you hold the title. Then add a facilities or safety credential, which signals the band you are aiming for.

Is health and safety really worth listing?

Yes. It carries real liability, it is often written into the posting, and holding a current qualification with a date is a cheap differentiator between otherwise similar candidates.

Should I include the office move in detail?

Give it its own bullet with headcount and downtime. Relocations are the highest-visibility project most office managers run, and a stated downtime figure is the kind of number people remember from a resume.

One page or two?

One page for coordinator and supervisory roles. Two is justified once you carry a budget, a team and multiple sites — but only if the second page is scope and projects rather than more duties.

Does the layout matter for these applications?

It does, because office manager postings attract high volume and are usually filtered by an applicant tracking system first. Keep it single-column: our testing of 36 layouts through four production parsers found that decorative templates are where the text order breaks, which is how a budget figure ends up detached from the role it belongs to.
